We're introducing new prices in Smartplan

"Oh no, do I have to upgrade now to access this feature?" — Perhaps you know the feeling. You’ve chosen a product at some point and reluctantly started paying for yet another subscription. But you did it because you needed it, and because it costs money to make money. That’s just how it is.

Most of the software industry is built around subscriptions, especially upselling within those subscriptions. So every time you want access to a new, smart feature, you have to pay more.

In our industry, for example, it might look like this:

  • Want to manage shift swaps? Well, then you’ll need to upgrade.
  • Want multiple locations? Better get out your credit card.
  • Want a time clock and payroll export? Then just pay a bit more per month. Click here.

Pricing models are designed to make the product look cheap upfront, only to take more money from customers’ pockets as soon as they want “real” functionality. Smart, isn’t it?

At Smartplan, we don’t want to do that anymore. For us, it’s manipulation driven by price psychology and spreadsheets. We’d rather create the best product that fits our customers’ needs, without constantly referring to numbers in a spreadsheet or focusing on who has which subscription or pays the most. Our starting point is our customers' needs and how our product can meet them. The focus is on the customers and the product, not the bottom line, which should be a byproduct of the customer experience.

We are passionate about helping small and medium-sized businesses like ourselves, and that begins with selling the same product to everyone.

Will we earn less because of this? Maybe. But not in the long run. We believe that what’s good for our customers drives our business, and that benefits us in the long term.

So, we’re doing it. We’re becoming the only provider on the market with an “all-inclusive” price. Everything you see when you try the product is included*. Everything you read about on our website is included. So, when you look at our pricing page, you only need to consider one price. That price is determined solely by the number of employees you have — and nothing else.

What are the new changes?

Here is a summary of the most important changes related to our new pricing. These prices apply to all customers who sign up after 18/2-25.

1. Prices based on the number of users

We’re moving from a fixed-interval pricing model to a “pay-per-seat” model. This means:

  • You pay a base fee, which includes up to 10 employees.
  • After that, you pay per employee.
  • All features are included in the subscription, regardless of the number of users.

Our pricing is as follows:

  • Annual subscription: Base fee: £34 per month, including 10 employees, and £1.5 per employee per month thereafter.
  • Monthly subscription: Base fee: £40 per month, including 10 employees, and £2 per employee per month thereafter.

We are therefore also introducing a discount for customers who pay annually.

2. Automatic subscription updates

We are removing manual subscription upgrades and downgrades. The number of users in your subscription will update automatically, so you no longer have to manage it yourself.

What does this mean for existing customers?

For customers who signed up before our price change on 18/2-25, the following applies:

  • You are not affected by this price change. Your price remains the same for now.
  • Your subscription will automatically update based on the number of users in your Smartplan account, so you no longer have to remember to adjust it yourself.
  • There are no changes to any existing discounts or payment plans.

If you want to add or remove the Smartplan Plus package, this can no longer be done directly on your account. However, we are happy to help you with this. Contact us at support@trysmartplan.com if you want to make changes.
