A rota should be easy to understand and navigate. That’s why we’ve divided the rota into weeks. Each week is split into time spans, which contain the shifts. The colors indicate the positions assigned to the shifts.
Open a day and put a face to your colleagues

With a single click, you can open a day and access shift swaps and contact information. When you open a day, Smartplan puts a face to your colleagues. If you want to swap a shift or contact a colleague, simply click on their face.
Find what you're looking for
Filter after positions, available- and your own shifts.
The rota is equipped with a filter, making it easy to find what you’re looking for. If you want to work more, simply click on "Available Shifts," and the rota will show you which shifts are available. Smartplan doesn’t have a shift marketplace or other confusing pages. Instead, the information you need is integrated directly into the rota. This way, it’s easy for you to see which week and day the shift belongs to.

Smartplan is your tool for flexible rotas.
Are you responsible for managing the rota? Then Smartplan is your helping hand. Whether you need to reassign people, delete a shift, make a shift available, or create a new one, the rota is your starting point - just like with the rest of Smartplan. Click on the face you want to change or remove—quick and easy.

Smartplan keeps up.
Your rotas and work schedules are constantly changing. Smartplan is always up to date, showing you and your employees who is scheduled to work. If you need to make changes to the rota, Smartplan keeps up and assists you with the correct adjustments. Smartplan notifies you if an employee has requested time off or is already busy during a specific time span. The control is yours, but Smartplan is here to help.
Why not just use an Excel template?
Because it isn't made for rotas.
Excel is a powerful tool—even for creating rotas. It’s easy and quick to get started. The problem, however, is that sharing the rota is difficult. Maintaining it is challenging, it’s hard for employees to swap shifts, and finding the rota can be a hassle. A rota should be on your mobile or iPad - not stuck to the fridge in the staff room.
