A question of price and clarity
Previously, Hotel Ritz created their schedules in another online scheduling system. But high prices meant the hotel was looking for another solution for their scheduling. The requirement was that the new system should be clear and easy to use, and Smartplan ended up being the solution.

A user-friendly scheduling system
For Hotel Ritz, it's important that neither administrators nor employees have to spend a long time on a complicated system. It should be easy for everyone to use the tools they need, whether it's scheduling, time tracking, shift swapping or anything else.

Respect for the past
Since 1934, hotels have been operated in the building where Hotel Ritz is located. Therefore, history and the past are also things that matter a lot at the hotel. When the previous owners took over the hotel back in 2013, the whole place was renovated, but with an awareness of continuing to respect the old hotel. This can be seen in the fact that the floor on the ground floor, for example, still stands as it did when the hotel was built.
"Before, you didn't clock in and out. We had to go in and change it manually if an employee arrived or left early. Now it's easier since we trust our employees to register themselves correctly, and then we can go in and approve any changes that have occurred"

An extraordinary history
Hotel Ritz is located in Aarhus city center near the train station. We recently stopped by to meet with hotel manager Nicolai Caspersen. During the visit, we learned about the hotel's history, what their daily life looks like, and how they use Smartplan daily.
In 2019, the Milling family took over Hotel Ritz. Today, the family has a total of 10 hotels located throughout Denmark. Five of the hotels currently use Smartplan. Hotel Ritz has been using Smartplan since summer 2022.
"I know that some of the other hotels used pen and paper before. We ourselves are quite satisfied with Smartplan. But I know that the others are even more excited."
Hotel Ritz consists of five floors with a total of 67 rooms. When the hotel is fully booked, they have space for 120 guests with beds made up.
For guests, the hotel wants to appear as a hotel where service is top-notch. Additionally, two things consistently come up when we ask what's special about their hotel.
The first is the location. With a location in Aarhus city center, close to the train station, Hotel Ritz is easy to get to. Additionally, they're located close to many of the places their guests want to see in Aarhus.
The second thing is the hotel's history. Hotel Ritz has a special and unique history, which is also highlighted on a memorial plaque at the reception.
"During the war, the resistance movement had their headquarters here at Hotel Ritz. They were down in the basement while the Germans occupied the rest of the hotel upstairs. That's a story we're happy to share with our guests. They find it very exciting."
At Hotel Ritz, they often experience that their guests return when they need to stay overnight in Aarhus. This is largely due to the atmosphere that the hotel's staff manages to create.
"Fortunately, we get really positive comments on what we can do something about. It's the smile that the guest gets when they walk in the door. The feeling they take with them when they've been happy and satisfied staying here."
During our visit, we definitely feel the positive atmosphere. You're met by smiling staff from the moment you walk in the door, and it's immediately clear that service is top-notch at Hotel Ritz. We can only recommend visiting the hotel if you need to stay overnight in Aarhus.
