When Slikhaarshop A/S' number of employees in the packaging department increased from 4 to 12 employees, we wanted an easy, clear and user-friendly program that could give our employees an overview of their shifts.

With Smartplan, we could go from impractical home-made Excel sheets for planning shifts and time/pay statements. We could offer our employees a usable system that could help them plan their shifts based on their needs. This has meant that I did not have to receive inputs by email or text message and based on these make the rota.

When we were given the opportunity to add the punch clock to our subscription, we immediately jumped at the chance. It has fully met our expectations both in terms of user-friendliness for our employees and for me.

The payroll statement is now just a few clicks away from being able to be retrieved and all conceivable information can be found in the clear Excel sheet.

For me, switching to Smartplan has meant easier planning, a better overview and time savings on administrative matters in terms of payroll, etc.

Previously, I would send around Excel sheets with the rota, and putting it together was quite the puzzle. After some searching, I discovered Smartplan, and it didn’t take long before the system was integrated into the venue and is now used extensively.

I use it daily. I check if there are shifts that still need to be filled, I communicate with all the volunteers through the system, and I use Smartplan as a directory for email addresses and phone numbers. I’m encouraging the volunteers to use the system more and more, so we don’t have to keep separate lists of contact details.

I used Smartplan’s support a lot in the beginning, as there are always specific requests when starting with a new system. Many of my requests have gradually been implemented. That shows they listen when you make suggestions, and if something isn’t possible, you get an explanation why.

With Smartplan, we have eliminated missed shifts among our lifeguards and ticket sellers, who unfortunately often forgot their shifts under our old system.

With Smartplan, they always have their shifts accessible in the calendar and receive an SMS with shift details in time to respond if they’ve overlooked it.

We’ve also ensured that the rota is always updated during shift swaps - something that often fell through with our old offline system.

The updated rota is achieved without any additional effort from the scheduler, providing better information for everyone and less work for the planner.

Employees manage their own shift swaps, and no one can be assigned a shift by a colleague without accepting it themselves. This ensures that whoever gets the shift is responsible for it until someone else agrees to take it.
