Smartplan has made everyday life in our IT department much easier. We previously used Excel and Outlook calendars to create rotas.

Minutes after releasing a rota, we would receive the first requests for swaps and shift rejections. We avoid that with Smartplan.

It has made it possible for us to plan rotas for longer periods. We plan for 6 months, and requests for shift changes are handled by the 'agents' themselves, without unnecessary involvement from the team leader.

The user-friendliness and easy access from any device - tablets, smartphones and computers regardless of platform - is clearly a big plus, and makes it easy and clear for each employee to embrace Smartplan.

Previously, I sent Excel sheets around with the rota, and then it was quite a puzzle to put together the rota.

After a bit of searching, I found Smartplan, and it wasn't long before the system was integrated in the house and is used frequently.

I use it daily. I check if there are shifts that need to be filled, I write to all volunteers through the system, I use Smartplan as a phone book for email addresses and phone numbers. I try to get the volunteers to use the system more and more, so we don't have to have lists with contact information lying around.

I used Smartplan's support a lot in the beginning, because there are always requests when you start up a new system. Many of my requests I can see are coming gradually. It's a sign that they listen when you have requests, and otherwise you get an explanation of why it can't be done.

With Smartplan we have eliminated missed shifts among our lifeguards and ticket sellers, who unfortunately a bit too often forgot shifts with our old system.

With Smartplan, they always have their shifts available in the calendar, and they receive an SMS with info about the shift, in time to react if they should have overlooked the shift.

We have also achieved that the rota is always updated when shifts are swapped - something that often failed with our old offline system.

The updated rota is achieved without time spent by the shift planner, so it's both better information for everyone and less work for the shift planner.

The employees handle the shift swap themselves, and no one can be assigned a shift by a colleague without accepting it themselves, so whoever has the shift is stuck with it until someone else has accepted to take the shift.

When Slikhaarshop A/S's number of employees in the packing department grew from 4 to 12 employees, we wanted an easy, clear and user-friendly program that could give our employees an overview of their shifts.

With Smartplan, we could move from impractical homemade Excel sheets to planning shifts as well as hour/wage statements.
