New flexible settings for the Holiday Account

We have expanded the Holiday Account to make it easier for companies to manage their holiday rules more accurately and flexibly in Smartplan.

First of all, the new settings are optional. Your existing settings will remain unchanged and continue to work as before. If you do not want to change your current setup, you do not need to take any action.

With these new features, you can now manage carry-over days, employee-specific working days, Personal Days, Accrual Periods and Usage Periods in more detail.

Carry over remaining holiday days to the new year

Many companies allow employees to carry unused holiday days into the next holiday year. At the same time, there is often a limit to how many days may be carried over.

This can now be set up in the Holiday Account. You can decide whether remaining holiday days should be carried over and whether there should be a maximum limit.

This gives you full control over your holiday rules and ensures that the calculation automatically follows your internal policies.

Define relevant weekdays

Not every company works from Monday to Friday. Some businesses are open from Tuesday to Saturday, while others have individual weekly schedules or part-time arrangements.

That is why you can now define which weekdays should be relevant for the Holiday Account. This can be set for the entire account or individually for specific employees.

When an employee requests holiday, only the relevant working days will be deducted from their Holiday Account. This makes the calculation more accurate and fair, especially for teams with non-standard working weeks.

Add Personal Days

In addition to regular holiday days, you can now add Personal Days. These can be added automatically at the beginning of the holiday year.

Personal Days can be used for training, study leave or other types of paid leave that should be managed separately from regular holiday entitlement.

Manage the Usage Period more flexibly

With the new Usage Period settings, you can define how long earned holiday days remain valid.

The period is defined by a start date and a number of months. For example, the Usage Period can start on 1 January, with earned days being valid for 12 months. After this period, the days can either expire or, if allowed, be carried over.

This gives you more control over when holiday days must be used and what happens to unused days.

Set up an Accrual Period for holiday entitlement

Some companies grant the full holiday entitlement at the beginning of the year. Others let employees earn holiday days gradually throughout the year.

Both options can now be managed with the Accrual Period. The period runs for 12 months from the selected start date. During this time, holiday days can either be accrued monthly for the previous month or granted at the beginning of the period.

This allows the Holiday Account to support different ways of building up holiday entitlement.

Allow half-days of holiday

Holiday requests can now be adjusted even more precisely. When editing a holiday request, you can allow half-days of holiday by entering 0.5 in the holiday usage field.

This means that, for example, half a day off can be deducted correctly from the Holiday Account without using a full holiday day.

More flexibility, less manual work

With these new settings, the Holiday Account becomes more flexible and can better support different working models and holiday rules.

Whether you work with carry-over days, non-standard working weeks, Personal Days or monthly accrued holiday entitlement, the new options help you reflect your internal rules more clearly and further automate holiday calculations in Smartplan.
